Applying from Singapore: what should you keep when an NZ visa portal fails?

Keep your own application documents, submission confirmations and correspondence when applying to New Zealand from Singapore. The ADEPT faults described on 30 September 2026 showed why a portal display should be checked against those records. The incidents concerned unintended processing and missing system information; they did not establish that every genuine application was unsafe or every approval incorrect.

Separate the incidents before drawing conclusions

ADEPT had operated since 2022. A technical fault allowed an automated process to repeat on the same application, duplicating actions and bypassing an expected officer assessment. The subsequent review identified 32 visitor visas approved without manual assessment across roughly three years, alongside 23 Job Check applications approved that way in 2022.

A Job Check concerned an accredited employer demonstrating efforts to recruit a New Zealander first. It was an employer process, distinct from a visitor's application. Technical advisers subsequently reviewed all the affected visitor visas. Twenty holders had already travelled to New Zealand without an adverse outcome being recorded. Six files were reopened for full assessment because risk factors were identified, and one was recommended for decline.

Other incidents affected different functions:

  • In 2025, 364 applicants for multiple-entry parent and grandparent visitor visas were not shown a tuberculosis-related residence question; 295 received visas. Officials assessed individual risk as relatively low and said the affected applicants would be contacted.
  • Around 2,300 businesses whose accreditation had lapsed and been renewed could no longer see their migrant workers in the employer dashboard. This affected resending job tokens and reporting departures.
  • After an August 2026 update, some visitor applicants could not submit a draft after adding a second person. A permanent correction followed within days; the number affected was unknown.

Understand what was planned and what was accidental

The government's stated approach envisaged automation assisting approvals while staff retained decisions to decline. Although immigration law allowed automated decisions, the agency had reportedly not yet deployed that capability intentionally. In 2025, its assessment was that the necessary data and testing remained around two years away. The faulty approvals were therefore not evidence of a planned launch.

A separate programme-level issue involved Our Future Services. Ministers required a new business case for the $336 million programme after projected savings were overstated by $134 million, with a report requested before April 2027. Those historical programme figures should not be confused with applicants' fees, compensation or a promised repair timetable.

Build a record you can use outside the portal

Save the completed forms and uploaded documents, then retain the submission receipt and subsequent messages with the same application record. Keep medical results and correspondence that belong to your case. For employment information prepared in Singapore, compare your CV dates with employment records, payslips and referee letters before submission.

You can use Build AI CV to organise your employment history while preparing a work application. Review the resulting text yourself and retain the underlying evidence: a CV tool cannot confirm a visa decision or correct an immigration portal.

If an expected question is missing or a page behaves unexpectedly, record what happened and seek instructions through Immigration New Zealand's contact channels. Keep health and character disclosures complete and truthful. Do not treat a missing prompt as permission to withhold relevant information. Check for messages regularly and respond promptly to requests for further material.

For employers, reconcile dashboard information with employment records and issued job tokens, particularly after accreditation renewal. An applicant should raise discrepancies with the employer instead of assuming that a missing worker entry proves a particular immigration outcome.

Keep recruitment and travel planning grounded in records

The archive on New Zealand student application queues addresses a separate timing problem; neither queue estimates nor portal behaviour can promise a personal decision date. The wider New Zealand immigration reform discussion provides historical policy context, which should be distinguished from software performance.

If you are also browsing overseas vacancies, keep the written offer and recruitment correspondence separate from immigration decisions. Applying from Singapore does not establish citizenship, destination work rights or exemption from evidence requirements.

Common mistakes when a portal looks unusual

  • Discarding submitted documents once an approval appears.
  • Assuming dashboard omissions mean a worker has left employment.
  • Reading an archived fault as proof that the same fault remains active.
  • Ignoring follow-up correspondence because the original outcome was favourable.

Frequently asked questions

Did the incidents show widespread wrongful refusals?

No. The account focused on unintended approvals, screening gaps, dashboard errors and submission problems.

Does a quick approval prove manual assessment occurred?

No. Decision speed alone cannot establish the steps taken. Preserve the decision and supporting records, and respond if contacted.

Were all affected visitor cases recommended for decline?

No. The account distinguished the reviewed visas, reopened files and the individual recommendation for decline.

Who should help with an unusual New Zealand case?

Use an appropriately licensed or exempt New Zealand immigration adviser for personal advice. Australian migration-agent registration alone should not be treated as New Zealand adviser authorisation.

Key takeaways

Retain a complete application trail, compare portal information with your own records and query discrepancies through the proper channel. Keep the reported incidents in their historical context, and distinguish technical assistance, employment decisions and personal immigration advice.
